Review office support needs when employee numbers grow

More employees can increase pantry, cleaning and service demand, but headcount alone does not describe the change. Review the tasks and timing before expanding a worker's responsibilities.

Measure the extra work

Compare the old and new refreshment volume, room use, deliveries and meeting frequency. A larger team spread over additional floors may change travel between tasks as well as quantities. Identify what has actually increased. Avoid assuming that a small numerical increase is automatically insignificant for the worker's daily schedule.

Check simultaneous demand

More meetings may create service clashes even if total work hours appear manageable. Put fixed tasks on a timetable and include preparation and clearing. Decide which requests can be staggered and which need separate cover. A workload review should consider when tasks happen, not only how many tasks are listed.

Discuss changes before imposing them

Explain the proposed duties and ask how they fit the current routine. Review hours, supplies and salary as appropriate to the new arrangement. The worker should not learn about a major expansion through scattered requests from new colleagues. Staffly can discuss whether the original placement brief still matches the role.

Choose a workable adjustment

Options may include changing the service sequence, separating cleaning from pantry work or requesting additional staff. Confirm availability and terms rather than assuming immediate cover. Review the result after the new team settles in. The aim is a sustainable routine that reflects the actual office demand. Compare the busiest shared periods, rather than assuming each additional employee creates an equal amount of support work.

A practical example to adapt

Example: a team expands into another floor and adds two daily meeting rooms. The supervisor maps the additional service trips and finds a repeated overlap with courier errands. The office changes errand timing and discusses the remaining workload with the support worker. If the revised schedule is still unrealistic, it considers a separate placement for defined duties.
