Hiring office support for a shared workspace

Shared workspaces need clear boundaries between common-area support and requests from individual tenants. Decide who can assign tasks and how additional work is approved.

Define the shared areas

List the pantry, meeting rooms, reception or other spaces included in the role. Explain whether private offices are excluded or covered through a separate arrangement. A support worker should not have to decide which tenant is entitled to service. Give them a clear scope that the workspace operator also communicates to occupants.

Control requests from different teams

Choose a central supervisor or booking process. Individual tenants may have different priorities and expectations, especially for refreshments and errands. The worker needs a way to refer requests that fall outside the shared service. Avoid promising every tenant immediate assistance when the placement is funded for a limited common-area routine.

Plan around bookings and access

Meeting-room demand can change daily. Share the schedule and identify who confirms preparation requirements. Explain access permissions for private rooms and the handling of items left in shared spaces. The worker should not disclose information about one tenant to another or enter a private area without the agreed authorisation.

Review workload as occupancy changes

More occupied desks can increase cleaning, pantry demand and visitor traffic. Review the brief when new tenants join or service expectations expand. If the existing hours no longer fit, discuss a revised arrangement or additional staff. The worker's capacity should be assessed against actual shared demand rather than the original empty-space plan. Give new tenants the same written scope when they move in.

A practical example to adapt

Example: the office boy maintains the common pantry and prepares booked meeting rooms. A tenant requests a personal document errand, which is referred to the workspace administrator because it is outside the shared scope. The administrator decides whether a separate arrangement is possible. The worker does not have to negotiate service rights directly with each tenant.
