Ask about a previous working day

Invite the candidate to describe the opening routine, busiest period and closing duties in a previous workplace. Follow up on tasks relevant to your own office rather than accepting a broad description of experience. Ask which work they performed independently and which decisions needed a supervisor. This helps distinguish familiarity from tasks they would need to learn.

Test priorities with a scenario

Ask what they would do if refreshments, a courier collection and a manager's errand were requested at the same time. A useful answer identifies the conflict, asks for priorities and explains any delay. You are assessing communication, not trying to catch the person out. Make clear which tasks must never be abandoned without a handover.

Discuss handling documents and money

Ask how they would confirm the recipient of a sealed envelope or record money given for supplies. Explain your approval process, receipt requirements and restricted rooms. Do not invite a candidate to disclose private details from a previous employer. Respecting that boundary is part of the behaviour you want in your own workplace.

Record a fair comparison

Use the same questions for each candidate and note examples rather than impressions alone. Mark duties that need training and clarify any uncertainty before offering the role. Confirm attendance, transport, salary expectations and notice requirements separately from skills. Any assessment should have a defined scope and agreed payment, with no assumption that interview attendance includes unpaid productive work.

A practical example to adapt

A useful comparison note might read: the candidate described preparing tea for a similar-sized team, explained how they confirmed courier recipients and said they would ask the supervisor to prioritise simultaneous requests. They have not used our coffee machine and would need instruction. This is more actionable than writing good attitude or experienced. Keep the same evidence categories for every interview so the final decision reflects the actual office duties.
