Hiring an office boy for a small office: duties and workload

For a small office, hire support around the busiest moments of the day: opening, tea service, visitors, deliveries and closing. A clear routine helps you decide whether one office boy can cover the work.

Map the work before choosing hours

Count the people normally present, the rooms that need attention and the times visitors arrive. An office with six staff and occasional meetings has a different workload from a reception handling visitors throughout the day. Write down recurring tasks separately from occasional errands. This makes the brief understandable without treating the phrase general office work as an unlimited list.

Separate pantry work from cleaning

Decide whether the person will wash cups, maintain the pantry, serve refreshments or also clean floors and washrooms. Hygiene arrangements, supplies and time must suit the combination. If a meeting requires continuous service, the same person cannot leave for courier work at that moment. Identify who covers the reception or door when the office boy is elsewhere.

Use a practical interview example

Describe an ordinary morning: staff arrive, a delivery needs signing and a meeting starts shortly afterwards. Ask how the candidate would clarify priorities and who they would contact if tasks conflict. Look for sensible communication rather than a promise to do everything. Explain office equipment and any unfamiliar duties before expecting independent work.

Set a reporting line

Choose one supervisor who can approve purchases, additional tasks and changes in hours. Confirm access arrangements and who locks up. Review the routine after the first week using actual workload, then agree any changes with the worker. Adding substantial duties should trigger a discussion about time and pay rather than becoming an unspoken expectation.

A practical example to adapt

Example brief: our office has eight employees, one meeting room and a small pantry. We need refreshments twice daily, cups washed afterwards and meeting-room preparation when booked. Courier errands must be approved by the administrator and avoided during meetings. General floor cleaning is handled separately. We will provide equipment and explain the closing routine. Please discuss candidates whose experience matches these duties and our stated attendance hours.
