Write simple task cards for new office support staff

A short task card can explain a recurring duty clearly. Include the result, necessary supplies and escalation contact without turning routine work into a long instruction manual.

Choose a task that repeats

Start with a duty such as preparing one meeting room or replenishing an agreed pantry shelf. Avoid combining the entire job into one card. The worker should be able to see the sequence and expected result quickly. Use language they understand and demonstrate the task before expecting the card to stand alone.

Describe the result and boundaries

State what completion looks like and what should not be changed without permission. For a room task, identify who handles papers or equipment. For a supply task, distinguish reporting a shortage from buying more. These boundaries help the worker act confidently without being expected to make decisions outside the role.

Include exceptions and a contact

Explain what to do if supplies are missing, the room is occupied or an instruction is unclear. Name a person who can resolve the issue. A card that only describes ideal conditions may fail during an ordinary busy day. Keep exception instructions short and consistent with the office's actual approval process.

Update the card after feedback

Ask the worker which steps are confusing or unnecessary. Revise the card when the room, equipment or routine changes. Remove outdated copies so staff do not receive conflicting instructions. The card should support training and independence, not replace a conversation about a material change in duties or hours.

A practical example to adapt

Example: a meeting-room card lists the agreed seating, water placement and return location for used items. It says that the host handles documents and names the administrator for booking changes. The supervisor demonstrates the sequence with the new worker, then revises one unclear step after the first week. The card remains short enough to consult during work.
