Hiring an office cleaner: scope, access and cleaning schedule

An office cleaner brief should identify surfaces, rooms, access and cleaning windows. Describe the work in measurable areas so candidates understand what must be completed each visit.

Define the areas and frequency

List desks, shared rooms, floors, washrooms and pantry areas separately. State which are cleaned daily and which receive periodic attention. Mention occupied workstations and any spaces that cannot be entered without permission. A room count alone can conceal very different cleaning demands, especially where visitor turnover or food service is high.

Confirm supplies and safe instructions

Agree who provides equipment and products, where they are stored and who replaces consumables. Demonstrate any specialist equipment and follow the manufacturer's instructions. The brief should say how spills or damaged fittings are reported. Routine cleaning should not be treated as authorisation to handle unknown chemicals, electrical repairs or hazardous waste.

Choose a workable attendance window

Before-opening cleaning can reduce disruption but depends on building access and a reliable arrival arrangement. Daytime cleaning needs coordination around meetings and occupied spaces. After-hours work requires a clear locking and alarm process. Confirm who can admit the worker and who remains responsible for the premises after the task is finished.

Inspect against agreed standards

Use a short checklist tied to the agreed areas, not a changing list of personal preferences. Give instructions for desks with papers and equipment rather than asking the cleaner to guess what can be moved. Review recurring missed tasks with the worker and adjust the sequence where necessary. Any new area or substantial extra work should be discussed before it is added.

A practical example to adapt

Example scope: clean the reception floor and two washrooms before opening, maintain agreed shared surfaces during the shift and report low consumables to the administrator. Occupied desks are only cleaned with permission, and papers are left in place. The office supplies labelled products and equipment. Specialist waste, external high windows and repairs are excluded. This brief gives the candidate a concrete standard and prevents different departments from adding incompatible tasks.
