Planning airport pickups with your family driver
An airport collection needs more information than a flight number. Give your family driver a complete passenger, luggage and communication plan before making the journey part of the role.

Separate arrival from collection
A scheduled arrival is not the moment passengers reach the collection point. Ask the traveller to confirm when they are ready, and identify who will communicate any change. Allow the driver to wait at an appropriate agreed location. Avoid repeatedly changing meeting instructions while the driver is moving; a household coordinator can gather updates and pass on one clear message.
Describe passengers and luggage
Explain how many people will travel and the approximate luggage volume before choosing the household vehicle. Confirm any passenger arrangements with the family rather than expecting the driver to improvise at the terminal. Oversized bags, additional relatives or a second destination may change the plan. Establish who decides whether a second vehicle needs to be arranged independently.
Account for the complete duty period
Include the journey to the airport, waiting, collection and travel home when discussing attendance. An overnight flight can affect the following morning schedule. Do not treat a late return as an ordinary evening errand that leaves every next day duty unchanged. Discuss a workable timetable with the driver before confirming the trip and assign other fixed journeys elsewhere if necessary.
Close the journey properly
Specify who approves parking and other agreed expenses, how receipts are recorded, and who receives a message when the collection is complete. Share only the passenger details required for the journey. Remove temporary travel information from shared instructions once it is no longer needed. Review repeated delays so future collections use actual experience rather than the original optimistic estimate.
A practical example to adapt
Illustrative example: For example, relatives arriving late in the evening have several bags and two drop-off addresses. The household chooses the vehicle in advance, assigns one passenger to communicate after arrival and arranges the following morning school journey separately. The driver receives a single final itinerary.
